Scrappy, low-cost technology solution kickstarts savings while larger initiative ramps up

Business challenge:  Achieving near-term efficiency goals while their large enterprise software solution was making it’s way through their lengthy approval and planning processes proved challenging to the Finance department.  Without a central repository and a budget to invest in a near-term solution, over 25K vendor invoices flooded staff inboxes for processing.  Many were lost or forgotten resulting in late payments and strained vendor relationships.

Agility engagement:  In less than three months, Agility evaluated the current payment workflow and payment tools and designed and built a cost efficient interim solution to the invoice routing challenge.  With small enhancements to the invoice approval matrix and the development and launch of a secure web page to gather routing information and automatically email an invoice document into the payment software, the client’s Vendor Invoice Portal was born. 

This scrappy interim solution met the immediate invoice routing needs, and along with a more frequent payment schedule, the invoice payment backlog was eliminated within just a few months. The client could now easily meet vendor payment terms. 

Business Outcome: Production staff were thrilled to be out of the “invoice routing business” and vendors were very pleased with timely payments. This very cost effective, short term interim solution solved the client’s payment delays while their new longer-term enterprise-wide Apex implementation was ramping up.
